Can AI take over the front desk and register visitors?

A supplement is possible in the form of a self-service kiosk, but that is something different from AI performing the task.

Why this work differs from administrative work

The core of this task is physical presence. A visitor who opens the door faces a human being who responds, points, walks along. AI has no body that stands at the front desk and no hand that points toward the lift. That is the first and heaviest reason why this task falls outside the scope of automation: the physical axis scores a 1, and that weighs more heavily here than, for example, sorting and distributing incoming mail, where no physical presence with a third party is required but physical handling of mail items is, something that lends itself more easily to being taken over by scanning and routing.

The second reason is customer contact, also a 1. A visitor who comes in is often a customer, job applicant, supplier or inspector. The first contact a company has with that person is the moment at the front desk. That is not a neutral administrative step but a representational moment. Cost of error and compliance score a 3, meaning that errors usually have limited consequences, with exceptions at companies with strict access security. Creativity scores a 2, indicating that little improvisation is needed beyond handling unexpected situations.

These figures sound favourable for automation on their own, and that is exactly why it is important to look at which axes tip the balance. A task with high volume and a structured process is attractive for automation, but if the task cannot be performed without physical presence and human customer contact, that task remains human work, regardless of how predictable the underlying process is.

Where it does shift

The shift does not lie in taking over the reception itself, but in what happens around it. The visitor registration system in which data is recorded can increasingly handle more preparatory work automatically: linking a pre-entered appointment to a name, automatically creating a badge as soon as someone registers via a kiosk or app, sending a notification to the right contact person without the receptionist having to do that manually. That is partial, with human oversight: the system does the groundwork, the person at the front desk remains the face and the link that actually receives and guides.

At a company without a front desk, where visitors register themselves via a tablet and walk to a waiting area on their own, this looks different. There, the physical presence of an employee has already been replaced by a kiosk, and what remains is a task that is closer to software input than to personal reception. That is a different organisational setup, not a different kind of AI. The difference lies in how much of the work has already been organised outside human involvement before AI comes into the picture.
