AI in business services: which tasks are shifting?

What makes this sector different

Business services is an umbrella term for companies that mainly sell knowledge, advice and administrative processing: consultancy, accountancy, legal services, insurance, HR services, marketing agencies. Little is physically produced. The work sits in text, numbers, conversations and systems.

In this type of company, most office hours go into three kinds of work: gathering and organizing information, handling client contact, and drafting and checking documents or files. In addition, there is always a layer of internal administration: recording hours, creating invoices, maintaining systems. What drives the outcome per company is not the sector as a whole but the mix within it:

An accounting firm with many routine annual accounts has a different distribution than a law firm that mainly handles custom cases. Both fall under "business services", but the AI task differs.

Category 1: AI can take over the task

These are tasks with a fixed structure, a clear source and a verifiable outcome. Think of:

What these tasks have in common is that the input is structured and the output leaves little room for interpretation. How many hours this actually frees up depends on how much of this kind of work a company genuinely does itself and how much is already outsourced or automated.

Category 2: partly, with human oversight

The largest category in this sector is probably this middle group: AI does the first pass, an employee approves or rejects it and gives a reason.

In this category, responsibility for the outcome remains with the employee. AI speeds up the preliminary work, but approval with a reason is the point where human work remains necessary.

Category 3: it remains human work

Some tasks cannot be taken over, not even partly, because they revolve around trust, liability or negotiation:

These tasks require judgment that cannot be derived from patterns in prior data, and often also a person who bears the responsibility.

What this is not

This breakdown says something about tasks, not about roles or staffing levels. Whether and how a company redistributes the freed-up hours — taking on more clients, picking up other tasks, something else — is a choice made by the employer. If that choice touches on personnel decisions, its own legal requirements apply; this page is not a basis for such decisions and not personnel advice.

Moreover, the differences between companies within business services are large. A company that does a lot of administrative processing, as shown in what work can AI take over in administration, has a different distribution than an advisory firm that mainly conducts custom conversations. Sectors with a lot of physical work, as described in what can AI take over in the installation trade, or sectors with heavy regulation and personal contact, such as what can AI take over in healthcare, also show how strongly the outcome depends on the task mix and not on the sector name alone.

What you can do now

To see which portion of the hours in a specific profile touches on tasks from category 1, 2 or 3, a broad look at one's own tasks is a logical first step. The free quickscan from ftetoai consists of twelve questions, requires no account and gives an indication of what portion of the hours in that profile can be taken over by AI today. The full work scan, which goes deeper into individual tasks, is still under development and is not offered here as a ready-made solution — that is more honest than a promise that cannot yet be fulfilled.
