AI in the recreation industry: which work changes first

A sector with a lot of customer contact and many seasonal peaks

Recreation businesses — holiday parks, campsites, theme parks, rental companies — run on a mix of fixed tasks and peaks that are not spread evenly across the year. In the high season, bookings, questions about arrival and departure, complaints and requests for extras all come in at the same time. In the low season, a large part of those hours disappears, but the administration, the planning for next season and the maintenance of systems and accommodations remain.

That uneven distribution determines where AI changes something first. Work that recurs in a similar form throughout the year — confirming a booking, answering a question about opening hours, drawing up an invoice — is easier to break down into fixed steps than work that depends on the weather, a guest's mood or an unforeseen situation on the park. The more repetitive the task, the sooner an AI system can take over part of it.

Where the hours go: three types of work

In recreation businesses, most tasks fall roughly into three groups.

The first group is booking administration and reservation management: processing requests, sending confirmations, making changes, linking payments to reservations. This work follows fixed rules and repeats itself per booking, which makes it one of the most obvious candidates for takeover by AI, with human oversight on exceptions such as cancellations involving a dispute.

The second group is customer contact: questions about facilities, arrival times, pet policy, what there is to do in the area. A large part of these questions is standard and has already been answered before — exactly the kind of repetition a system can be set up for. A smaller part requires judgment: a guest who is dissatisfied with the condition of an accommodation, or a situation that does not fit the standard answers. That latter part remains human work, or goes to an employee who takes over the conversation after the system has done the initial sorting.

The third group is physical and organizational work on location: cleaning of accommodations, maintenance, check-in desks, supervision of facilities. This work is tied to a place and a moment and does not change quickly through AI itself, although the planning of it does change: rosters, maintenance schedules and inventory management are often already partly automated before the physical work itself is. Why the difference per company is so large

One recreation business books through an automated system with connected cash registers and a chatbot that catches by far most standard questions. Another still works with a telephone, a separate booking book and an employee who answers all correspondence by hand. Both exist side by side, and the difference does not lie in the sector but in what has already been set up: which systems are in place, how clean the data is, and whether someone has taken the time to map out recurring questions and processes.

That makes the comparison with other sectors with a lot of customer contact and peak loads relevant. What changes on the back end

Besides bookings and customer contact, many recreation businesses also run logistics alongside: rental of equipment, shipping of confirmations, packages or merchandise, and the administration that goes with it. That is a task that can just as well be broken down into steps that a system can take over, with checks on the exceptions.
