AI in transport and logistics: what can be taken over, what remains human work

What makes this sector different

The transport sector is a combination of physical work on the road or in the warehouse and administrative work in the planning department and the office. Drivers, loaders and warehouse staff work with their hands and vehicles; that work cannot be taken over by software. At the same time, in almost every transport company a substantial part of office hours goes into planning, order processing, customer contact about shipments, documentation and keeping up with customs and transport regulations. That is the area where AI can play a role.

What determines the outcome per company are a few recurring circumstances. Transport is a sector with a lot of customer contact: where is my shipment, when will the driver arrive, why is there a delay. It is also a sector with a lot of regulation, from driving and rest times to ADR requirements for hazardous substances and customs paperwork for international transport. And it is a sector with many separate systems: a TMS for planning, a separate system for track & trace, yet another for invoicing, and often Excel and WhatsApp in between. The more these systems stand apart from each other, the more manual retyping and checking work remains, and the larger the area where AI can take over supporting work once the connection is in place.

Where AI can take over the task

The most promising area is work that follows fixed rules and whose sources are digitally available. Think of automatically reading and processing waybills and delivery notes, routing standard questions about shipment status to an automated answer, and generating initial draft plannings based on available vehicles and trips. Drafting standard communication to customers for a normal delivery, and keeping basic reports on trips and mileage, also often fall into this category. This is work where the input is structured and the outcome can be verified well, making takeover possible without ongoing human correction.

Where oversight remains necessary

A large part of transport work falls into the middle category: AI can make a proposal, but a human assesses the result before it goes out the door. Think of planning proposals during busy periods or breakdowns, where a planner assesses order and feasibility. Also think of flagging shipments at risk of delay: a system can recognise that pattern, but handling it and the tone toward the customer require a case-by-case assessment. For example, AI taking over monitoring service tickets for looming delays can be done, so that an employee does not have to go through all tickets but still assesses the exceptions. The same pattern applies to scoring incoming quote requests on quality and urgency: AI taking over scoring leads on quality can make an initial classification, after which the account manager decides which request gets priority. In both cases, the system does the groundwork, but the approval with reasoning remains with a human.

Where the work remains human work

Driving, loading and unloading, technical maintenance of vehicles, and physically checking cargo remain human work; no language model changes that. Negotiating with shippers about rates, handling damage claims and making decisions during a serious disruption such as an accident or a border incident also require human work. These situations are rare enough, or have enough financial and legal impact, that the judgement cannot be left to a system. The relationship with regular customers and negotiating contract renewals also remains, in practice, with an account manager.

Edge areas that are often forgotten

Beyond the trip and the cargo itself, every transport company also has marketing and communication work: maintaining a company page, sharing news about services or vacancies. Here too, part of this is transferable: for example, AI taking over scheduling and publishing social media posts can be done, with the content direction and final check remaining with the marketing employee.
